Purchasing ClinicOffice

There are 3 different Editions of ClinicOffice. Please expand the following sections for more information…

STARTUP Edition (from £150)

The Startup Edition has been designed for smaller clinics or those who are just starting out. There is a limit of 300 patient records and 2 practitioners and it’s also not networkable. Once you reach the patient or practitioner limits, you can easily upgrade to the Professional Edition by simply paying the difference, hence this edition is often an ideal starting point for new ClinicOffice customers.

PROFESSIONAL Edition (from £450)

The Professional Edition has no patient or practitioner limitations and is fully networkable so that your database can be accessed from multiple computers. This edition is recommended for up to 5 network users. For more users or if you have a very large database, we would recommend the Server Edition. Of course, you can always upgrade later on by simply paying the difference.

SERVER Edition (from £950)

Functionally, the Server Edition is identical to the Professional Edition. The key difference is that it uses a Client/Server database engine which means it runs very quickly across a network and can easily handle millions of records and dozens of concurrent users. We recommend the Server Edition if you have more than 5 users accessing your database at the same time, or if you have a very large database.

 

Which edition is best for you?

That really depends upon your requirements. The following summary may help…

Startup Edition
  • You have less than 300 patient records.
  • You only need to book appointments for 1 or 2 practitioners.
  • You are only going to use ClinicOffice on ONE computer.
Professional Edition
  • You have more than 300 patient records.
  • You need to book appointments for 3 or more practitioners.
  • You would like to network ClinicOffice on up to 5 computers.
Server Edition
  • You have more than 300 patient records.
  • You need to book appointments for 3 or more practitioners.
  • You would like to network ClinicOffice on 5 or more computers.

Frequently Asked Questions

How many licenses do I need?

For the Startup and Professional Editions, licenses are on a “per computer” basis. If you have 3 PCs which require ClinicOffice, you need to purchase 3 licenses (1 initial + 2 additional licenses).

For the Server Edition, licenses are on a “per concurrent user” basis. You can install it on as many computers as you wish. The question is: how many people will be using the system simultaneously?

If you have 10 PCs and 20 staff members but only 6 people will use ClinicOffice at the same time, then you only need to purchase 6 licenses (1 initial + 5 additional licenses).

Of course, you can easily buy additional licenses later on and they can be activated for you instantly.

Can I spread out payments for the software?

I have more than one clinic - do I need an Initial License for each site?

Technically, the “additional licenses” are actually “network” licenses, so if you’re going to have a separate database at each site, then yes you will need to purchase an initial license for each site. However, we are more than happy to offer discounts for larger purchases, so please contact our sales team and we’ll be happy to help!

This is our technical support service for ClinicOffice which we strongly recommend all customers to consider.

Onsite Training (inc Installation/Setup)

To help you get started, we can spend a day (or two) with you on-site in order to setup the software and to train your staff in the use of the program.

PLEASE NOTE: For on-site visits, we cover a radius of 100 miles from our head-office (in Boston, Lincs) free of charge but we do have to charge additional travel expenses if travelling further.

Online Telephone Training Sessions

Our training staff can connect in remotely to your computer to conduct remote training sessions with you and your staff. This is often a more flexible and cost-effective method of training especially for smaller clinics.

Form/Report Designing

ClinicOffice comes with a built-in Report Designer which offers massive flexibility when it comes to designing reports. More complex reports however are best done by our technical support team.

Data Conversion

If you already have your patient data in a standard electronic format (e.g. CSV, Excel, Text) we can convert it to ClinicOffice for you. We may also be able to convert data from another program if you’re switching to ClinicOffice.
