How many user licenses do I need?

User Licenses are provided on a concurrent user basis. In other words, the key question is…

How many people need to use the program at the same time?

This tells you how many licenses you require. Remember – you can still have an UNLIMITED number of staff members and users in your database regardless of how many user licenses you have. The only limitation is how many people can logon simultaneously.

Is there a minimum contract period?

The Hosted Edition is operated on a one month rolling contract. You pay monthly in advance and you’re free to cancel the service at any time.

What happens to my database if I decide to cancel?

Before cancelling, we recommend that you export any data that you need out of your database. ClinicOffice makes this easy by allowing you to export patient records, appointments, invoices, payments etc. to MS Excel and many other common formats.

After cancelling your service, we’ll double check with you that you’ve exported your data and then your database will be permanently erased from our server.

(We can provide you with FULL database dump in CSV format of all your database structures, although there is some work involved hence there is a small charge.)

How secure is my database on your hosted server?

To access a database on our Hosted Server, there are two layers of authentication.

First you must logon to our Hosted Windows Server via your own private account. You then have to logon to your ClinicOffice database with your username/password combination. Furthermore, your data is stored in an encrypted format. In other words… your database is very secure!

For further peace of mind, we are also registered with the Information Commissioner’s Office on the Data Protection Register as a “data handler” which means that we comply with all their requirements for handling sensitive data.

Onsite Training (inc Installation/Setup)

To help you get started, we can spend a day (or two) with you on-site in order to setup the software and to train your staff in the use of the program.

PLEASE NOTE: For on-site visits, we cover a radius of 100 miles from our head-office (in Boston, Lincs) free of charge but we do have to charge additional travel expenses if travelling further.

Online Telephone Training Sessions

Our training staff can connect in remotely to your computer to conduct remote training sessions with you and your staff. This is often a more flexible and cost-effective method of training especially for smaller clinics.

Form/Report Designing

ClinicOffice comes with a built-in Report Designer which offers massive flexibility when it comes to designing reports. More complex reports however are best done by our technical support team.
